FleetPoynt Terms of Service

Read these together with the FleetPoynt Privacy Notice, which says what we hold about your people, and our data-processing terms, which say how we process it.

⚠️ Where you hold a signed agreement, order form or site licence with us, that document governs. These terms fill what it does not cover. They never narrow it.

1. What FleetPoynt is

FleetPoynt keeps your organisation's vehicle register. It derives expiry and service-due warnings, sends alerts and a weekly digest, produces log books and the monthly management report, and exports your data whenever you ask.

FleetPoynt records what your office writes down. It does not track a vehicle's position and it holds no live map.

Nothing saves without a person. An uploaded list, a scanned document and an AI draft all stop at a human confirmation. AI scanning produces drafts only. Illegible values stay blank, because the scanner does not guess a plate, a date or an amount.

⛔ We verify nothing with an issuing authority. FleetPoynt does not check a certificate, a driving licence or a plate against FRSC, an insurer or any registry. Every warning it raises is computed from what your own office recorded. The register is your record, and its accuracy is your office's work.

2. Your account

• You decide who joins your organisation and in which role. You are responsible for adding people and for removing them when they leave.
• Viewer seats are free and unlimited. Nobody needs to share a sign-in to look at the register.
• Multi-factor sign-in is available to every user, with an authenticator app and single-use backup codes.
• Keep sign-in credentials secure. Tell us at info@epoynt.com if you believe an account is compromised.

3. Plans, seats and allowances

Self-serve plans, monthly, exclusive of VAT. VAT at 7.5% is added at checkout.

• Starter — ₦60,000 a month. Up to 25 vehicles, 3 writer seats, 30 AI scans a month.
• Growth — ₦180,000 a month. Up to 100 vehicles, 10 writer seats, 100 AI scans a month.
• Scale — ₦450,000 a month. Up to 300 vehicles, 25 writer seats, 250 AI scans a month.

Plans differ only by fleet size, writer seats and scan allowance. Nothing in FleetPoynt is feature-gated by plan. Export least of all.

A writer seat is a person who records work. Viewers do not consume a seat.

Above 300 vehicles, and for courts, ministries, departments and agencies, FleetPoynt runs on an annual site licence: every vehicle, every depot and the whole transport office under one agreement, priced by fleet size. It is quoted rather than listed.

A vehicle or seat cap never locks you out of a register you already hold. It is a commercial limit. It tells you when to move to a larger plan; it does not take away access to your own record.

The AI scan allowance is different. It is a cost limit, not a sales one, because each scan costs us money to run. It applies on every plan, including a complimentary one.

A new limit runs in warning mode before we enforce it, so you see it before it bites.

4. The pilot

A pilot runs for 30 days and costs nothing. Fleet size and team size are uncapped during it.

In that time we set up your workspace, roles and import structure, import the vehicle list you already keep in whatever shape it is, resolve duplicates with you, transcribe bound-book pages and certificates with you, log a week of movements, and print the blank sheets your drivers write on.

⭐ Your register is exported and yours to keep at the end, whether or not you buy.

5. Billing

• Self-serve plans are billed monthly by card.
• A site licence is invoiced annually against your purchase order and settled by transfer or cheque. No card is required. Each payment is recorded against your invoice reference.
• Renewal, cancellation and refunds are set in your order form or site licence.

6. Your data, and getting it out

Your register is yours. We process it as a processor, under the data-processing terms.

• The register and its log books export in full, on demand, on every plan, with no export fee. Log books and the monthly management report print as PDF.
• Verdicts in an export — service overdue, cover expired, a fuel anomaly — are computed by the same rules the register uses, so the file cannot quietly disagree with the product.
• The register is append-only. A mistaken entry is cancelled rather than deleted, and a vehicle is never hard-deleted. Section 7 of the FleetPoynt Privacy Notice explains what that means for a deletion request.
• Your register is an institutional record that must outlive any one supplier, including us.

7. Availability, backup and recovery

⛔ These terms state no uptime figure. Uptime, support hours and incident-response targets belong in your order form or site licence. We will not publish a number we cannot support.

What we run today, and publish on our security page:

• The register is backed up daily, on a schedule we run and monitor. A run that does not happen raises an alert.
• Each backup is checked for completeness before it is kept. The job counts the rows inside the finished artifact and rejects a short one.
• We have taken a stored backup, decrypted it, restored it into a separate database, and matched it against production.
• Recovery follows a written procedure with verification steps, restoring beside the live database rather than over it.
• Documents sit in separate storage with its own redundancy. Nothing in the product overwrites or deletes a stored document.
• You are never dependent on our recovery. An organisation that exports monthly holds a complete copy of its own record.

We tell you in advance about maintenance windows and about changes that break something you rely on.

8. Lawful use

• Use FleetPoynt for your organisation's own lawful transport administration.
• Do not upload unlawful content. Do not attempt to reach another organisation's register. Do not resell access without a written agreement with us.
• We may suspend access for abuse, for a security risk, or for legal non-compliance.

9. Liability

⛔ These terms set no liability cap and no remedy. Limits, remedies and any service credits are governed by your executed agreement, order form or site licence.

Where no such agreement exists — during a complimentary pilot, for example — the service is provided as is.

Read section 1 with this section. FleetPoynt reports what your office recorded and does not verify it with anybody. A decision you take on a warning is your organisation's decision.
